How to Master Time Management and Pacing When You Speak

That Time I Rushed — and Lost the Message

Let me take you back to a keynote I once gave that I was way too excited about.

I had fire in my heart, stories ready to go, and a packed audience in front of me. But as the clock ticked… I panicked. I wasn’t even halfway through, and I had 10 minutes left.

So I sped up. Rushed my final points. Talked faster. Cut parts I cared about.

I ended on time, technically — but I left that stage feeling like I’d lost the very heart of what I came to say.

That day taught me: If you don’t control your pacing, your message controls you.

The Hidden Cost of Poor Pacing

Pacing isn’t just about “running long” or “finishing early.” It’s about how your audience experiences your message.

When you rush:

  • People can’t keep up

  • Important points are missed

  • You sound nervous or unsure

When you drag:

  • People disengage

  • Energy drops

  • It feels like you don’t respect their time

And when you go over time — especially in corporate settings? It’s not just awkward. It’s unprofessional.

Why Pacing Is the Speaker’s Secret Weapon

Pacing is more than speed — it’s your rhythm.

It’s how you guide emotion. How you help people reflect. How you create anticipation, clarity, and connection.

A well-paced talk builds trust. It makes you sound like a pro — even if you’re nervous inside.

And guess what? Pacing can be learned.

My 4-Step Method for Perfect Timing

Here’s how I stay locked into the clock without sounding robotic:

1. Outline First, Don’t Script

Scripts slow you down or speed you up unnaturally. Outlining lets your talk breathe while keeping structure.

2. Time Your Chunks, Not Your Talk

Don’t just time the full 20 minutes — break it into intro, points, close. It helps you track progress and adjust on the fly.

3. Use a Visible Countdown

I rehearse with a timer in full view. It builds awareness — and keeps me in control.

4. Always Rehearse the Open and Close

Your start and end are your anchors. When you rehearse those well, everything in between can flex.

How to Slow Down Without Losing Energy

Slowing down doesn’t mean losing passion — it means becoming more deliberate.

Here’s how I do it:

  • I speak to one person at a time, even in big rooms

  • I use intentional pauses — especially after big points

  • I breathe fully between ideas

  • I remind myself: silence is powerful, not awkward

If you want to sound like a leader? Don’t just fill the space — own it.

Using Pauses to Boost Power

This one’s huge.

Pauses are where your message sinks in.

I pause:

  • Right after a key insight

  • Before the punchline in a story

  • When I want the audience to reflect

  • When I feel the energy needs to reset

It’s not about dramatic effect — it’s about creating space to feel.

And the best part? It helps eliminate filler words like “uh,” “you know,” and “like.”

Managing Time in a Virtual Environment

Virtual = different rules.

In-person attention span = 15–20 minutes. Online? You’ve got 5 before they’re checking Slack.

Here’s what I do:

  • Break my talk into short sections

  • Use visual transitions or tonal changes to reset the room

  • Keep a timer on my second screen

  • Check the chat or reactions for pacing cues

At the Fearless Speaking event, I’ll show you exactly how to keep your pace tight on-screen.

Why Mastering Time = Audience Respect

When you manage time well, it tells people:

  • “I value your attention.”

  • “I know what matters.”

  • “You’re in good hands.”

It’s a subtle shift that makes a huge impact.

And in business? It builds trust fast.
